Your actual system of record
It's a whiteboard.
Not the software you bought. The board on the wall by the door, in three colors of marker, with Thursday half-wiped off it.
It works. That's the awkward part — it genuinely works, right up until it doesn't.
Same six dogs. Same six facts. Now every screen in the building has them.
We're not going to pretend the board is stupid.
It's fast, everyone can read it, and it never goes down. It has exactly four problems, and every one of them is the same problem: the board is the only copy.
It only exists in one room
The person in the yard with a wet phone is not standing in front of it.
It has no yesterday
Wednesday is wiped to make room for Thursday. Nobody can tell you what Biscuit ate last visit.
It doesn't know who wrote it
When the note is wrong, there's no way back to who put it up or when.
An elbow is a data loss event
And the only backup is whoever happens to remember.
This is the board, for real
Not a mockup of one. The same six facts, on every desk, tablet and phone in the building, updating the second anybody changes one.

Keep the whiteboard.
Genuinely — keep it for the things whiteboards are good at. Just stop asking it to remember anything past closing time.
